Person in charge of personal information protection

In accordance with Québec’s Act respecting the protection of personal information in the private sector, as amended by Law 25, Groupement Rézoway is responsible for the personal information collected through this site.

  • The role of person in charge of personal information protection is held jointly by the group’s five partners: Olivier Reffo and Laurent Satre (Rézoway Conseil), Frédéric Burot (BDG Lawyers / Avocats), Benoît Poudrette and Isabelle Tremblay (Poudrette & Associée). None of them has authority over the others. They can be reached at contact@groupement-rezoway.com.
  • Simple Avenue Inc., publisher of the site, acts as the group’s processor: it hosts the site and forwards the form’s messages, on documented instruction and for that sole purpose. Its mandate ends when the message is delivered to the group’s mailbox. Its person in charge of personal information protection is Nathalie Frégeau, President, services@simpleavenue.ca, +1 514 467-5683.
  • For any question or request regarding your personal information, write to contact@groupement-rezoway.com.

Information collected and purpose

When you use the contact form, we collect: your name, your email address, your company name (optional), the subject you selected and the content of your message. This information is used solely to answer your request and to direct you to the relevant member firm. It is not used for marketing without your consent.

  • No cookies, no local storage, no analytics: the site stores nothing in your browser.
  • No third-party content is loaded (fonts, maps and images are served by the site itself).
  • The host keeps technical logs (IP address, requested page, timestamp) needed for security and operation, for a limited period it determines.

Consent

By sending the form, you consent to the information provided being used for the purpose described above. You may withdraw this consent at any time by writing to us; we will then stop processing and delete your message, unless we are legally required to keep it.

Disclosure and hosting outside Québec

Your message travels as follows: it passes through the site’s technical relay, hosted by Render Services, Inc. (United States), which does not retain it, and is delivered to the group’s shared mailbox, hosted on Microsoft 365 in the “Canada” geography. The publisher’s mandate ends at that delivery. The message is then opened by the group’s partners, from named accounts, and handled by the member firm concerned under its own responsibility.

  • Processors: Render Services, Inc. (site and relay infrastructure, United States) and Microsoft (the group’s Microsoft 365 mailbox, “Canada” geography). No other recipient.
  • Microsoft’s residency commitment covers the “Canada” geography rather than the province: as a precaution, this delivery is treated as a disclosure outside Québec.
  • A privacy impact assessment was carried out for these disclosures outside Québec, as required by Law 25. It concludes that the information benefits from adequate protection, based on the technical and contractual measures described above.
  • For visitors located in the European Union: processing is based on your consent and on the legitimate interest in answering your request (GDPR, art. 6). Transfers to Canada are covered by the European Commission’s adequacy decision.

Retention

A message that leads to no further action is kept in the group’s mailbox for two years from the date it is received, then deleted. A message that gives rise to a file follows that file, under the professional obligations of the member firm concerned. The site’s technical relay itself retains nothing.

Security

The site is served exclusively over HTTPS. The form relay records neither the content of messages nor the sender’s IP address, limits the number of submissions and rejects automated ones. Access to the group’s mailbox is protected by multi-factor authentication.

Your rights

You may request access to the personal information we hold about you, its rectification, its deletion (de-indexing) or the withdrawal of your consent, and obtain a copy of this information in a structured, commonly used technological format (portability).

  • Send your request in writing to contact@groupement-rezoway.com or to the relevant person in charge named above. We reply within 30 days.
  • If you believe your rights are not being respected, you may file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca).

Confidentiality incidents

In the event of an incident involving your personal information that presents a risk of serious injury, the responsible organisation concerned will notify the Commission d’accès à l’information and the persons concerned, as required by law, and will keep a register of incidents.

Changes

This policy may be updated to reflect changes to the site or to the law. The date of the last update appears at the top of the page.
